Hi everybody. Today, we are going to talk about tags. In this video, we are going to discuss the ASN CRM, the home care marketing CRM, the home care sales CRM, and the home care recruiting CRM. We are going to talk about how tags function. If you are looking for other tutorial, please see our YouTube channel or our blog on our website at asnmarketingplan.com for all of the other videos. This video is about contacts and how to tag them, sort them, and how tags function. When you log in you’re on the dashboard, but we’re going to go to our demo account. We’re going to go to contacts. What we can see about our contacts is that they are tagged. So let’s look through some of the tags that we have in our CRM. Let’s look at testing tool.
This person is a recruit, is somebody who is seeking a job, so this person has a lot of different tags. In our recruiting program, there are some automated tags. We don’t want to remove those because the system works on automation and tagging is a big part of that. But these are all the tags for testing tool. We can see that they’re a job seeker. We can see that they came from Facebook or a Facebook job ad. We can see that they’re stagnant. If you’re in the recruiting program, you should know what that means. We could add another tag if we wanted to like newsletter. So if we wanted this person to be on our newsletter list, we should already have a tag called newsletter in our system and we would add the tag newsletter and we would have to hit save. So, we can tag people. When we do that or when we tag our contacts, it helps us sort them.
So let’s go back to our smart lists. So we’re looking at our smart list and we’re looking at all the contacts we have, but because we’ve done a really good job of tagging our contacts, we can now sort them. They might be Google ads, Google ad leads, contact us forms from our website, could be a whole lot of things across here. In this case, I have all of my job seekers right here. You can see there’s testing tool because she is tagged with job seeker somewhere in here and then if we want to look at all of our Facebook people, we can see testing tool is in the Facebook group because she came from Facebook. If we were to look at my CNA jobs, we see all the people who are tagged with my CNA jobs, but testing tool is not there because she did not come from my CNA jobs.
Here’s Indeed. Here’s our list of people who came from Indeed. Testing tool is not in there because she did not come from Indeed and then we just were experimenting and we added. We were just messing around with tags. So we have a Facebook one tag and testing tool is in there. So, these are smart lists and we’ve talked about those in a previous video. I’ll talk about them in another video, but tags help us do a lot of things including sort our lists and automate. So, let’s say I wanted to look at my list here and I wanted to say I only want to see the people who have the tag. So in other words, let’s start again. I went to more filters. Let’s take out this out and then I had to decide, what am I going to search with, I want to search by tags because I want to sort by tags.
So, I’m going to choose tag and then I choose which tag. So, I can say applicant. Well, there’s nobody under applicant. I can say we can sort by we’ve already looked at some of these. Let’s start by newsletter. Well, there is, oh we have two. We’re going to remove that tag. So there’s testing tool. We just added the tag newsletter to her, so there she is. She is a newsletter recipient. Some of you who are in our scope programs or other programs that have nothing to do with recruiting will notice that you have a list of people up here who are called newsletter. That would be everybody in your contact list who is receiving your monthly newsletter. So newsletter is a big one that we use all the time.
If you want to add a tag, if there’s a tag that doesn’t exist, let’s go back to testing tool. We added newsletter today, but let’s say we want to make a note that this person is a hot lead. I don’t know you could call it anything, so we can tag all of our hot leads and hit save, and then go back to our main contact list. We could clear out all these filters. Let’s just clear out all this. Let’s hide our filters. Let’s go to all, make sure we on all.
So we’re going to start over again. Now we’re going to go to more filters and we’re going to sort by tag again. Right now, I want to see all of my hot leads. So tag is, let’s see, hot lead and there it is right there. There is testing tool. She is a hot lead. Now, you may not want to do that, but if you did you would have all of your hot leads here. This also helps us build smart lists. So if I wanted to build a list of all of my current hot leads, then what I would do is I would save this search and I would call it hot leads and I would hit save.
Now you can see, I have a list of all of my hot leads right here. If I needed to share this list with someone which I think we’ve already talked about, but we’re going to do it again. If I wanted to share this list, then I could share it with another employee or user. So here’s hot leads, right now I’m the only person who can see this, but if I share it and again there are no other users here to share with, but if I had two or three employees in here, I could check all of their names and hit save, and then when they log in next time, they will see all of the hot leads too. If I don’t share it, I will be the only person who can see that list. So, if I wanted to send out a note to people tagged with the word hot lead, I could.
Let’s say I had 15 people here. I could just select all of them and I could send them an email directly from here. I can fill out all my information or I could send them a text right here. I could put in all the information I need, the text message and the system would send all of my hot leads, a text or it would send all of my hot leads an email whatever I wanted to do. Let’s go back to all. The other thing you can do from here is you can add tags to multiple people. So let’s say, I wanted testing tool, cool robot, this guy, this guy, this guy and this guy, I wanted to add a tag. So I’m going to say okay proceed and what tag am I going to add, well I’m going to add hot lead. In action, this is just for you. No one else sees this. So you can put whatever you want in here, but you do have to fill it out. What’s happening here is, the system is making you note why you’re doing whatever it is you’re doing.
So that if you look at the history of things that have happened inside the CRM, it’ll show that the gallery added all these people to the tag hot lead on this date. So it’s, it’s recording what you’re doing and it’s giving you the ability to go back and see what’s been done inside the CRM. So I’m going to hit ad tags. So it’s going to take a second. It says the action has been scheduled. So might not see if we hit refresh, I see some hot leads here. It’s usually pretty quick. If you add 60,000 tags inside your CRM, it’s going to take a little while, but now you can see all these people are tagged with hot lead. So if I were to go to my hot leads list, now I see all these people are hot leads not just testing tool.
So this is how we sort by tags. We add a tag that we think makes sense for us and then we go ahead and create a smart list from that. We can always delete the smart list. We can always delete this tag. It’s important to know though that sometimes automations that we set up in here are very dependent on these tags. So if you’re not sure, the best thing to do is to not delete that tag. Talk to us first and find out what’s going on before you start deleting stuff inside the CRM, let’s do this. I’m going to show you how to manage your tags. So what I did was, let’s go back, I’m over here on this navigation, but I’m going to go down here to settings. The very bottom left hand side of the corner, left hand corner, and I want to manage all of my tags.
So you see under all of this navigation here, you have business info, my staff pipelines, you have all kinds of stuff. Tags are also here. So you can see now all the tags that we have, some of you have lots and lots of tags, some of you have very few. I’d say the fewer the better, but if you need to add them go ahead and add them. What I would also ask you to note is that if you already have a tag in here called bulk upload, do not add an additional tag called bulk upload. Eventually, they will fix it so that we cannot add duplicate tags. The challenge right now is that the system will allow you to add two bulk uploads or two applicants. When you do that, if you have an automation set up with the first bulk upload tag, but you add everybody to the second one you put in the system, the automation will not work for those people.
It’s a complicated little thing. So if you go in here and you notice that there are duplicate tags, and I think they’re in alphabetical order. Let us know because before you delete a tag, even if it’s a duplicate, we need to know that and let us work through it because we can delete the correct tag and move every one to the correct tag. So your automations, if you have some setup will continue to work. Now, if you just did this two seconds ago and you know that this was the one I added and it’s wrong and there’s nothing else, there’s no other automation set up with it go ahead and delete whatever you want or you can add tags here. So if you need to create a new tag, like current staff. You want to add a new tag you can do it in other places, but you can also do it right here, you can add current staff. So I would say to everyone when you’re uploading contacts, when you’re doing things like that, you’re definitely going to want to pay attention to tags and not add tags that already exist.
